​​Join our team as an Executive Administrative Assistant in our New York office supporting senior leaders in our Client Solutions Group. In this role you will gain exposure across a wide variety of business activities while showcasing your positive, confident, and proactive approach, and exceptional time management skills.

What role will you play?

​​You will be responsible primarily for calendar management, expense and invoice processing via Coupa, and travel coordination (both domestic and international) for a team of executives using Concur. You will collaborate with other Executive Assistants and executives across multiple internal teams and take an active role to support their success. You will also have the opportunity to work on various ad-hoc projects, including the coordination of team events.​

 
Salary range for this position: $85,000 - $115,000/Year. Actual base salary may vary based upon, but not limited to, relevant experience, time in role, peer and market data, prior performance, business sector, and geographic location. You may also be eligible for an annual discretionary incentive compensation award. You can further read about the full spectrum of benefits we offer our people listed below. 

​While Macquarie offers hybrid working for many of our roles, this role does require 3 days a week in our office location.​  

What you offer

  • Manage complex executive calendars, including high-volume meeting scheduling, conflict resolution, and coordination of rooms, catering, and logistics.
  • Arrange and confirm extensive international travel, producing detailed itineraries across flights, hotels, cars, trains, visas, and multi-stop roadshows.
  • Process purchase orders and invoices in Coupa, handle monthly Amex/Concur expense reporting, and ensure all financial deadlines are met.
  • Provide comprehensive administrative support such as preparing meeting materials (printing, binding, scanning), organizing large-scale departmental events, and supporting teams of 10–12 people in a fast-paced environment.
  • Bring experience from banking/finance and prior work in a fast-paced environment, demonstrating exceptional organization, email management efficiency, multitasking skills, and experience coordinating events and heavy international travel.
