Our global Client Solutions Group comprises of professionals dedicated to delivering new business initiatives, product development, fund formation, capital raising and client relations across Americas, EMEA and Asia Pacific. You will be supporting our teams within the Client Solutions Group, as they deliver the whole of Macquarie Asset Management’s investment capabilities within private markets.

What role will you play?

Your responsibilities will include extensive calendar management, including booking meetings, managing conflicts and booking rooms/catering, as well as booking and confirming complex travel arrangements including producing comprehensive travel itineraries, working on roadshows, flights, hotels, cars, trains and visas. You will also be processing purchase orders and invoices on Coupa; processing monthly Amex / expense claims in Concur and producing and coordinating documents for meetings including printing, binding, scanning. Alongside the core role, general administration and support in organising large-scale events for the department and the team is a key part of this position, alongside providing support for other Executive Assistants as required.

  • Previous work experience supporting senior directors and a wider team within a fast-paced office environment 
  • Strong Outlook experience and ability to manage several calendars, working across different time zones 
  • Excellent attention to detail and organisational skills 
  • Ability to balance conflicting priorities and make decisions accordingly 
  • Proactive and enthusiastic attitude, with the ability to anticipate needs of team members and act as necessary 
  • Good judgement and discretion on confidential matters 
  • Strong team-working skills
